Question: Does your software provide Accounts Receivable ( A/R ) and invoicing capability? How do I send invoices?

Yes, it does include these capabilities. You can utilize the standard "search" -related functions to find the people that owe money, then choose the action "Send PDF Letter" to send a printed invoice, or "Send email" to send an email invoice. The same invoice template can be used for both email and paper communication and can include graphics and any other formatting you desire.   You can also use the "Reports" area to view a wide variety of financial information. All reports are "drill-down" style, meaning you can click on almost any part of a report to see more detail about that row.

Question: How do I see who owes my organization money?

Use the standard "search" function to find everyone in the "deadbeat" smart group.  The "deadbeat" smart group includes anyone who owes money, such as a staff entered membership obligation , or someone who registered for a event and checked the "Pay Later" checkbox.

Question: If someone calls me and asks about their financial information, how do I see the information just about that one person?

View that person's contact record, click the "Contributions" or "Pledges" tab.

How do I view one person's contact record?

To view one contact record:  In the upper left corner of the software, there is a box with a magnifying glass. Just start typing the first few letters of that person's name, and suggestions will be shown. Click  on the suggestion that matches. ( For example, start typing "Fre" and the suggestion Fred Flintstone is shown. )

Does your software include Accounts Payable ( A/P ), Budgeting and General Ledger functionality? Will these features be added in the future?

No, we do not include Accounts Payable, Budgeting or General Ledger functionality. We do not plan on adding these features at this time, as we have observed that over 80% of small to mid-sized organizations in the United States use Quick Books, followed by Peach Tree. Those are also the tools preferred and recommended by most accountants. Instead of competing with these standard products, we make sharing information from our software to external products as simple as possible.

Quick Books includes an Accounts Receivable area as well as your software. Where should the bookkeeper record checks and cash that we receive?

We recommend only using ONE accounts receivable ( A/R ) system, the one contained in our software. All checks, cash, or any other income should be recorded in our software.

What can be exported into QuickBooks ( or any other accounting package ) ?  What should be exported?

While any information in our software can be exported to any external system, we recommend only exporting SUMMARIZED information into QuickBooks.  For example, lets say your organization has a large fundraising dinner that 205 people attended. Most people signed up and paid  for the event online using our software's event registration function. Other people mailed checks, and 5 people didn't pay anything, as they were guests of honor.    We recommend exporting just the total income for that event into Quickbooks. That way you can compare your income against the expenses for running the event, and against what you had budgeted for the event.
